Be Supposed To: Expectations and Real Life
Separate the plan from the result.

The quick answer
Use be supposed to + base verb for an expectation or arrangement: We’re supposed to meet at six. Change be for the subject and time: We were supposed to meet at six, but the train was late. The expectation is not proof of the result.
You are organising a small exhibition. People have agreed on times and responsibilities, but the day does not go exactly as planned. Explain the expectations clearly without confusing them with the facts.

1. What is expected?
An agreed arrangement
We’re supposed to deliver the pictures on Friday.
This presents Friday as the agreed or expected day. The expectation may come from a timetable, an agreement or somebody else’s instructions.
A rule or responsibility
Visitors are supposed to leave large bags at reception.
This tells people what the venue expects them to do. It can be a reminder that someone is not following a rule, but the sentence alone does not prove that anyone has broken it.
Advice or expectation? You should arrive early can be your recommendation. You’re supposed to arrive early refers to an expectation or arrangement. These meanings can overlap, but the second sentence points towards what is expected of you.
2. Change be, keep supposed to

Keep the final -d in supposed when writing, and keep to before the base verb. The verb after to does not change for the subject: She is supposed to help, not helps.
Negative meaning: You’re not supposed to take photos normally means that the rule or expectation is against taking photos. It does not mean the same as You don’t have to take photos, which says there is no obligation.
Use be to make the question: What am I supposed to bring? Do not add do: avoid What do I supposed to bring?
3. The earlier plan and the actual result
The expectation in the past
The exhibition was supposed to open at ten.
This gives the expected time. In conversation it often introduces a problem or a change, but you still need the context to know the actual result.
Make the outcome explicit
It was supposed to open at ten, but a delivery delayed it until eleven.
The second part tells us what really happened. Alternatively: It was supposed to open at ten, and it did. An expectation can be fulfilled.
Use was with I, he, she, it and were with you, we, they. Keep the rest of the pattern: We were supposed to bring the frames, but we brought only the prints. To ask about the earlier plan, say Were you supposed to collect them?
Another meaning: what people say
The new gallery is supposed to be excellent can mean that people say it is excellent. It does not describe a duty. Context tells you which meaning fits. The main practice here focuses on arrangements and responsibilities.

Say or write a corrected version first. Then open the explanation.

Include the appropriate form of be. For a past arrangement, She was supposed to bring the signs is also possible.

Form the question by moving are before we. Do not use do with this pattern.

I’m supposed to check the tickets. Are we supposed to open both doors? Visitors aren’t supposed to bring food inside. Yesterday we were supposed to finish at five, but we stayed until six.
