The communication goal

A professional request email should explain what you need, why it matters, and when a response is required without sounding demanding.

Four-part structure

  1. Give concise context.
  2. State the request clearly.
  3. Explain the deadline or reason.
  4. Close with appreciation and an invitation to ask questions.

Model email

Subject: Request for final figures by Thursday

Hi Marta,

We are preparing the monthly client update. Could you please send the final sales figures by 3 p.m. on Thursday? This will give the design team enough time to update the report before Friday’s review.

Please let me know if the deadline creates any difficulty.
