Write a Concise Project Status Update

Give colleagues the information they need without making them search through a long email.

The reader’s three questions

A useful status update answers three questions quickly:

  1. Where does the project stand now?
  2. What has changed since the last update?
  3. What action or decision is needed next?

If no action is required, say so directly.

A reliable four-part structure

1. Subject line

Name the project, status and date.

Orion rollout: on track, 28 August

2. Headline status

Lead with the overall position.

The rollout remains on schedule for 12 September.

3. Evidence

List only the most relevant progress, risk and change.

4. Next step

State the owner, action and deadline clearly.

Subject: Orion rollout: on track, 28 August

Hi team,

The Orion rollout remains on schedule for 12 September.

  • User testing is complete, with two minor issues now being corrected.
  • The training guide has been approved and will be shared on Monday.
  • The only current risk is a possible two-day delay in the final data migration.

Action needed: Priya, please confirm the migration window by 3 p.m. on Friday.

Make vague information useful

Replace each vague sentence with a clearer version.

  1. Things are going well.
  2. There might be a problem with the supplier.
  3. Please respond soon.
Check the suggested answers
  1. The design review is complete and the project remains on schedule.
  2. The supplier may deliver the equipment two days late, which could affect testing on Monday.
  3. Please approve the revised delivery date by 2 p.m. on Thursday.

Editing test

Ask these questions before sending:

  • Can the reader understand the status from the first two lines?
  • Does every bullet add information that affects progress, risk or action?
  • Is each request assigned to a named person with a deadline?
  • Have I removed background information the reader already knows?

Suggested answer

The website redesign is now one week behind schedule because client feedback arrived later than planned. The revised homepage draft will be ready on Tuesday. Sam, please approve the updated schedule by noon on Monday.

Production task

Write a status update for a real or imaginary project in 120 words or fewer. Include a clear subject line, one headline status sentence, up to three evidence bullets and one precise next step. Then remove any sentence that does not help the reader decide or act.
